Who we are

Billion Game is a search engine optimisation and answer engine optimisation agency registered and operating in Chennai, Tamil Nadu, India. We work with clients in the United States, United Kingdom, European Union, Australia, Canada, Ireland and India.

For the personal data described here, Billion Game is the data controller when it concerns our own website and marketing, and a data processor when we handle data on behalf of a client under an engagement.

What we collect

We keep this deliberately narrow. We collect only what we need to answer you, deliver work, and run the site.

• Contact details you give us: name, work email, company, and anything you type into a form or send by email.
• Website and analytics data: pages visited, referring source, approximate location by IP, device and browser type.
• Client engagement data: access to your Google Search Console, Google Analytics, CMS or hosting, strictly as needed to do the work.
• Applicant data: CV, portfolio links, and anything you send when applying for a role.

We do not collect payment card details on this website. If you become a client, invoicing is handled through a third-party payment provider that receives those details directly.

What we never do

We do not sell personal data. We do not rent, trade or share mailing lists. We do not buy contact lists and cold-email them, and we do not sign anyone up to a newsletter because they requested an audit.

We do not use your data to train machine learning models, our own or anyone else’s. Client content stays with the client engagement it belongs to.

Why we use it, and the legal basis

Where the UK GDPR or EU GDPR applies, our lawful bases are as follows.

• Contract: to deliver work you have engaged us for, and to invoice for it.
• Legitimate interests: to reply to enquiries, run and secure the website, and understand which pages are useful. We have assessed that this does not override your rights.
• Consent: for non-essential cookies and for any marketing email, which you can withdraw at any time.
• Legal obligation: to keep accounting and tax records for the period Indian law requires.

Free tools and audits

Our free tools run entirely in your browser. Text, URLs and files you paste into the robots.txt generator, schema generator, snippet preview, hreflang generator or extractability checker are processed locally and are never uploaded to us or stored on a server.

When you request a free audit we do crawl the URL you give us, in the same way any search engine would. We keep the resulting report so we can send it to you and refer back to it if you become a client. Ask us to delete it and we will.

Who else sees your data

We keep the list of third parties short and we do not add to it casually.

• Google Analytics and Google Search Console, for website measurement and for client work where you have granted access.
• Email and document hosting, used to correspond with you and store deliverables.
• A payment provider, for client invoicing only.
• SEO tooling such as Semrush, Ahrefs and Screaming Frog, which process URLs and site data rather than personal contact details.

We do not give any of these parties permission to use your data for their own marketing.

International transfers

We are based in India, so if you are in the UK, EU, Australia, Canada or the United States, your data is transferred outside your own jurisdiction when you contact us or engage us.

Where GDPR applies we rely on Standard Contractual Clauses with our processors, and we apply the same protections to your data regardless of where it sits. We will sign a data processing agreement on request before any client work begins.

How long we keep it

• Enquiries that do not become work: two years, then deleted.
• Client records and deliverables: seven years after the engagement ends, which matches Indian statutory record-keeping.
• Job applications: twelve months, unless you ask us to keep them on file for future roles.
• Website analytics: fourteen months, which is the Google Analytics default retention we have set.

Your rights

Wherever you are, you can ask us to show you what we hold, correct it, export it, or delete it. Under GDPR you additionally have the right to restrict or object to processing, and to withdraw consent at any time without affecting processing that already happened.

Under India’s Digital Personal Data Protection Act you have the right to access, correction, erasure, grievance redressal and to nominate someone to exercise these rights on your behalf.

If you are unhappy with our response, you can complain to your supervisory authority — the ICO in the UK, your national authority in the EU, the OAIC in Australia, or the Data Protection Board in India.

Security

Access to client systems is granted per person and revoked when an engagement ends or someone leaves. Accounts that hold client data require two-factor authentication. Devices are encrypted, and we do not store client credentials in shared documents or spreadsheets.

No system is perfectly secure. If a breach affects your personal data we will tell you and the relevant authority within seventy-two hours of becoming aware of it, with what happened and what we are doing about it.

Children

This site and our services are for businesses. We do not knowingly collect data from anyone under eighteen. If you believe a child has given us personal data, email us and we will delete it.

Changes to this policy

When we change this policy we update the date at the top of the page. If a change materially affects how we use data you have already given us, we will email you rather than rely on you noticing.

Exercising your rights

To access, correct, export or delete your data, or to object to how we use it, email us. We reply within one business day and complete verified requests within thirty days at the latest, free of charge.
